RESOLVE DATA PRIVACY POLICY (“Privacy Policy”)
General
Resolve Foundation Limited is a Hong Kong charitable institution of public character exempt from tax under s.88 of the Inland Revenue Ordinance (Registered Charity IRD No.91/16137) (“Resolve”, “us”, “we” or “our”). Resolve is committed to protecting your privacy, and shall comply with the Personal Data (Privacy) Ordinance, Cap. 486 when collecting, using and processing your personal data.
This Privacy Policy describes how and why we may collect, store, use, and/or share personal data when you:
- Interact with us;
- Use our services;
- Visit our website at https://www.resolvehk.org/ (“Site”);
- Enquire with us; or
- Engage with us in other related ways, including at physical events and via digital channels such as email, social media, and third-party fundraising websites.
Sometimes, we may provide additional privacy notices to explain how we may use your personal data in specific situations and you may have the choice to opt out of such uses. By using our Services, you acknowledge and agree to the collection, use and transfer of your personal data in accordance with this Privacy Policy.
Minors under the age of 18
If you are under the age of 18, you must obtain consent from your parents or guardian before providing any personal data to us.
Third party personal data
If you provide us with personal data on behalf of another person, you represent that you have obtained consent from the other person to provide their personal data to us, in accordance with this Privacy Policy.
How we collect data
Personal data may either be provided by you or collected automatically when you visit our Site. We will indicate if the collection and provision of certain categories of personal data is mandatory. If you fail to provide to us any mandatory categories of data, we may not be able to provide you with our services. All other personal data can be provided by you on a voluntary basis.
Information we collect
We may collect and process the following data about you:
- Program records which include records containing information provided by or collected from participants in our programs, including applicants, fellows, mentors, grantees, former fellows, alumni, consultants, nominators, volunteers, donors, facilitators, students, student leaders, champion educators and community trainers;
- Personnel records which include personal particulars, volunteer and job applications, role particulars, details of compensation and benefits, performance appraisals, references and disciplinary matters relating to job applicants, employees and former employees of Resolve, board members etc.;
- Other records which include administration and other records (other than personnel records and program records), data relating to donations, details of attendance at our events, programs, workshops or training courses, visits to our Site, information provided to us through email communications such as contact information, and in various application forms and the resources that you access etc.
Information we collect as part of the above records may include your:
- Name, email address and phone number;
- Company/ organization information;
- Photographs and video recordings when you attend our events, programs, workshops or training courses;
- Postal address when you make a donation via Stripe and Paypal;
- (For minors) School/institution, guardian’s name and contact information;
- (For volunteers only) residential address;
- (For fellows only) Contact information of your emergency contact(s), criminal records;
- (For employees only) Resume, HKID, residential address, bank account information, date of birth, contact information of your emergency contact(s); and
- (For grantees) bank account information.
Information about your use & navigation of our Site: We may also use online tracking technologies such as cookies, pixel tags, web beacons and other similar technologies to automatically collect information about:
- your visits to our Site, such as your browsing history, how long you stay on our Site, and how often you visit; and
- your location information as provided by your mobile or other device when you use our Site, including your IP address and general geographic location; and the device on which the Site is installed (e.g. your device ID, operating system, type of device, device version, mobile application crashes or other system activity).

Purposes of collecting information
Program records are collected and used by Resolve for promotional, training and administrative purposes, including dealing with matters relating to the individual’s applications, facilitating communications, facilitating training, monitoring and evaluation; complying with applicable procedures and laws, and all other purposes related to any of the above.
Personnel records are collected and used by Resolve for human resource management purposes including matters relating to recruitment, volunteers, employees’ employment, enabling internal communications, complying with applicable procedures and laws, and all other purposes related to any of the above.
Other records are collected and used for various purposes which vary according to the nature of the record, such as the administration of office functions and activities, organising and delivering educational and training activities, promotion and fundraising activities, complying with applicable procedures and laws, etc.
We may also collect and use your information for the following other purposes:
- Activities. Organising programs, workshops, training activities and events;
- Customer Support. Assisting you when you contact us, such as responding to and investigating any of your questions, concerns or suggestions;
- Job Applications. Managing and processing your job, volunteer applications, internship, consultant, board and program applications;
- Donations. Processing your donation payments payment for donation purposes;
- Managing Preferences. “Saving” your online preferences;
- Statistical Analysis and Research. Undertaking statistical analysis and research;
- Reporting. Formulating and compiling reports for our various stakeholders, including reports to funders and grant bodies, and our impact and annual reports; and
- Direct Marketing. We may provide you with marketing and promotional materials (“Marketing Communications”), if you choose to receive them. Please see the section on Direct Marketing below for more information.
Direct Marketing
Subject to your consent, we may: Use your personal data to send you Marketing Communications via email, sms, telephone, WhatsApp and other social media messengers applications in connection with our latest news, events, updates, offers relating to our programs, Resolve or our wider Resolve community. Before providing you with Marketing Communications, we will ask for your consent. You can choose at any time not to receive any Marketing Communications from us. See the section on Your Rights below.
Disclosure of your information
We may provide your information to: our personnel, agents, advisers, donors, funding organizations (e.g. foundations etc.), academic bodies, auditors, contractors, financial institutions, and service providers in connection with our operations or services, or persons to whom we are required to make disclosure under applicable laws and regulations. In any case, where personal data is provided to third parties, your personal data will only be transferred to such third parties that are under an obligation to treat your personal data in the same manner required by this Privacy Policy. Other than the parties set out in this policy, we will not disclose your personal data to any third party without your prior consent.
Data retention
We only retain personal data for so long as it is necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required under law. Data may be archived as long as the purpose for which the data was used still exists. We will securely destroy your personal data once we no longer need it.
Your Rights
- Access and Correction: You are entitled to request access to or correction of any personal data that we hold about you.
- Opt-out of direct marketing: If you no longer wish to receive any promotional materials from us, you may opt-out of our direct marketing initiatives.

We take the security of your information seriously. We take all practicable steps, including the implementation of technical and physical security measures, to ensure that all personal data held by us is kept secure and safe from any loss or unauthorised disclosure, use and modification.
Online Tracking Technologies
When you visit our Site, we may collect information about your computer or device automatically through cookies or similar technologies. Cookies are text files sent from a website and placed on your computer or device to collect standard Internet log information and visitor behavior information. We use cookies and other tracking mechanisms for system administration, to track information about your use of our Site and to improve your browsing and user experience.
